3 Ways To Cut Your Printing And Copying Costs

The cost of printing and copying documents is one of the highest uncontrolled expenses in many businesses.

Think about Toner Cartridges, if you run out you just buy more. It’s not as if you could simply stop printing until the next budget cycle.

Also, who in your company stops to think “How much is printing these pages going to cost the company”?

Nobody, that’s who.

So, is it even possible to reign in these expenses and make a meaningful reduction in costs? The good news is that it truly is. Furthermore, it’s likely to be easier than you think.

We’ve compiled a short list of simple actions you can take today which can reduce your printing costs by 10, 20 even 30% right away. By doing these things and setting up a few simple procedures you will begin to enjoy a more economical printing environment right away.

  1. If your printer, copier or MFP is capable of printing in color, simply set the default mode to “Monochrome”. Most people don’t realize that a color print can cost ten times what a black-and-white print does. In order for this to be most effective you will need to set the “Copy Default to monochrome and then do the same thing with every computer that has printing rights to that device. Users will still be able to print in color when they need to, but unless they actively choose color they will get a B & W print.
  2. Use Access Codes and Quotas. Many of the better copiers and MFPs on the market today offer you the ability to require a user code in order to print or copy from the device. This allows you to do two things. First, by requiring user codes you will automatically stop unauthorized users from using your equipment and supplies. Secondly, you can generate reports to see who is printing and at what volumes. Many prints are made every day which never needed to be made. Having to use a code makes people think twice before they push the Print-Button.
  3. Set your copier or MFP to “Hold Print” as a default. The “Hold Print” (or some similar name on various models) will hold the print job in its memory until a “Release Code” is entered at the control panel. This not only reduces wasteful printing, but adds a layer of security by not releasing the document until the proper recipient is physically present to retrieve it.

These are just three ways to cut your printing costs but there are many more.

To Print or Not to Print

To Print or Not to Print?
That is the question!

We are seeing tremendous advances in imaging (printing) technologies for the office today. But at the same time we’re hearing all of this talk about going “paperless”, right? So how do we sort through the alternatives and find the best solutions?

First, in my opinion “paperless” doesn’t mean “no paper“, it can mean “less paper” or possibly different kinds of printing. Let me explain.

While it’s true that we can reduce the amount of printing related to operational functions such as invoicing and other tasks which can benefit from electronic distribution and workflow, other items are actually increasing in volume. As an example, marketing materials have traditionally been outsourced to print shops because the quality of the output on the color copiers wasn’t quite up to the standards we desire. Those days are over.

Today’s Multi-Functional Printers (previously known as copiers) produce output so good that they are now being used by the very print shops we used to outsource to. The truth is that today’s marketing and sales departments need to be more nimble, targeted and responsive than in the past. Short runs and personalized messages are now the norm and the MFP is firmly at the heart of this movement.

Scanning is the next part of this puzzle. It’s no longer a question of “Are you scanning?” but “How much and what kinds of scanning are you doing?”. The newest MFP’s provide many advanced scanning functions, but that is just the tip of the iceberg. Just like other “smart devices” today’s best MFP’s can be loaded with apps (applications, for those of us over 40) which open up limitless possibilities. Scan to the cloud? Sure! Print from remote locations? Absolutely! Route documents to people or departments with traceability and version control? Simple!

Oh, let’s not forget about COLOR! Color has taken over as the number one way to enhance the impact and appeal of documents, business communications, presentations and marketing materials. As short as four or five years ago, color was inconsistent, inaccurate and expensive. Those days are gone. Today’s color MFP’s offer world class color at unbelievably low cost. Small businesses can now look as good as their larger competitors and project a first class image to prospects, clients and partners.

So back to our original question, I think the answer is plain to see. Yes, we want to eliminate unnecessary printing and use our time and resources in a smarter way. We print to communicate and to grow our businesses. Moving toward thinking about printing differently is the smart, profitable choice and we can help.

Pacific Connecteq is here for you. We offer advanced technologies in a friendly and understandable way. We know that while you do want to print, scan, copy and fax, you don’t want to be burdened with a steep learning curve or confusing processes. Our job is to help you to identify the best solutions for your business and make it work for you.

The Dark Side of Copier Leases

If your company is like most, you leased your copier. These leases are a convenient and cost Copier Leaseeffective way to get the latest technology at an affordable price. But there is a dark side to many of these agreements that you need to be aware of.

Many copier leases have an “Evergreen Clause” buried in the fine print. Don’t be fooled by the friendly sounding name, the evergreen clause is a tricky and unwelcome intruder into your company’s financial structure.

The evergreen clause typically requires you to notify the leasing company in writing, during the last 60 to 90 days of the lease term of your intention Not to continue paying the monthly obligation. That’s right, you’ve made all of your payments as agreed and if YOU don’t tell the leasing company to stop billing you, they may not.
Many times these evergreen clauses contractually obligate you to another 12 monthly payments and you may not even be aware of it! The invoices continue to come just as they always have and your A/P department continues to pay them just as they always have.

Why do companies inadvertently allow this to happen?

The first reason is that it the person who signed the original copier lease may no longer be with the company. This happens very frequently with no one else at the company even aware that the lease is nearing the end of the original term. This is dangerous and can lead to huge and unnecessary expenditures on old and obsolete equipment.

The second common reason is simply that it’s not a high priority. A copier is leased approximately every 48 to 60 months, so tracking the lease simply isn’t top-of-mind. It’s like an old piece of furniture that just blends into the background, except this one has a monthly payment attached to it.

What should you do today?

Find the original copy of your lease agreement. Look for the origination date and the term, usually 36, 48 or 60 months. If you are in the last nine months of the term, assign someone to take on the project of researching the options making sure the evergreen clause doesn’t kick in. If you can’t find the original lease call the leasing company for a copy, their phone number is on your billing statement.

If the termination date of the lease is twelve months or more away, create an alarm in your email or other calendaring system. Set the alarm to notify you and other stakeholders approximately nine months prior to the end date to begin the process of looking into what’s new and relevant to your company. These stakeholders typically include I.T. Directors, CFO’s, department heads and others who depend upon this equipment to keep the document workflows moving efficiently.

Don’t let the evergreen clause cast a shadow over you. If you are nearing the end of the copier lease, you are likely to want a newer, more feature rich model. But without being aware of your lease term you just may find yourself up a tree!
